1. Introduction

PitchPal ("we", "us", "our") is committed to protecting your personal information and your right to privacy. This Privacy Policy explains what information we collect, why we collect it, how we use it, and what rights you have in relation to it.

Please read this policy carefully. If you disagree with its terms, please stop using our Service. By accessing or using PitchPal at getpitchpal.com, you acknowledge that you have read, understood, and agreed to this policy.

2. Who we are

PitchPal is an AI-powered cold call training platform that helps salespeople practice pitching to realistic AI prospects and improve their skills through scored feedback. We also offer a Live Call Assistant that provides real-time coaching during real sales calls. Our platform is accessible at getpitchpal.com.

3. What data we collect

Account information: When you create an account, we collect your name and email address. This is handled through Clerk, our authentication provider.

Voice and microphone data: During a practice call, PitchPal accesses your device microphone with your permission. Your voice is transmitted in real time to Vapi, our voice infrastructure provider, for the AI call and speech-to-text conversion. The resulting transcript is sent to Claude by Anthropic to generate your scorecard. Raw audio is streamed and is not retained after the call ends.

Live Call Assistant: If you use the Live Call Assistant (Pro feature), your microphone audio is streamed in real time to Deepgram for speech-to-text transcription. That transcript is sent to Claude to generate live coaching suggestions. Raw audio is not retained after the session ends.

Call session data: After each scored call, we store your scores, date, prospect type, difficulty level, top strength, top improvement tip, and coaching verdict in Supabase. This is the data that powers your Progress dashboard and call history. Only the PitchPal team can access this data, and it is never shared with or sold to third parties.

Payment information: If you upgrade to Pro, payment is processed entirely by Stripe. We never see or store your full card details.

Usage and analytics data: We use Vercel Analytics to collect anonymised, aggregate usage data (pages visited, general usage patterns). This data is not linked to your identity and is not used for advertising.

4. How we use your data

  • To provide the Service: run calls, generate scorecards, track your progress.
  • To improve the product: we may review anonymised call session data (scores, difficulty, coaching notes) to understand how users are performing and where the product can be improved. We do not use this data for any commercial purpose.
  • To send transactional emails: welcome email on signup, receipt on upgrade, post-call coaching recap.
  • To manage your subscription: track Pro access and billing via Stripe.
  • To comply with legal obligations: tax records related to payments.

We do not sell your data. We do not share your call data, transcripts, or session results with any third party for commercial purposes. We do not use your data for advertising, profiling, or any purpose beyond operating and improving PitchPal. Only the PitchPal team has access to your session data.

5. Legal basis for processing (GDPR)

If you are located in the EEA, we process your personal data under the following legal bases:

  • Contract: processing account and session data is necessary to deliver the Service.
  • Legitimate interests: aggregate usage data to improve the product.
  • Legal obligation: retaining payment records for tax and financial regulations.
  • Consent: microphone access is requested at the point of starting a call. You may revoke microphone permission at any time through your browser settings.

6. California residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act:

  • Right to know what personal information we collect and how it is used.
  • Right to delete your personal information.
  • Right to opt out of the sale of personal information. We do not sell personal information.
  • Right to non-discrimination for exercising your CCPA rights.

7. Third-party services

We rely on the following services:

  • Clerk: user authentication and account management.
  • Stripe: payment processing. Card data stored exclusively with Stripe.
  • Vapi: real-time AI voice calls and speech-to-text transcription for practice sessions.
  • Deepgram: real-time speech-to-text transcription for the Live Call Assistant (Pro feature).
  • Anthropic (Claude): AI model for grading transcripts and generating live coaching suggestions.
  • Resend: transactional email delivery (welcome emails, post-call coaching recaps).
  • Supabase: cloud database for session history and user data.
  • Upstash Redis: rate limiting to ensure fair use across all users.
  • Vercel: application hosting, deployment, and anonymised analytics.

8. Data retention

Account data (name, email): retained for the lifetime of your account. Removed within 30 days of account deletion. Backups purged within 90 days.

Session data: retained while your account is active. Deleted within 30 days of account deletion.

Voice audio (practice calls and Live Call Assistant): streamed in real time and not stored after the session ends.

Call transcripts: processed in real time to generate your scorecard or coaching suggestion, not stored after processing is complete.

Payment records: retained for a minimum of 7 years as required by Canadian financial and tax regulations, even after account deletion.

Activity/analytics data: retained on a 30-day rolling basis, then automatically purged.

Email logs: retained for 90 days by Resend for deliverability purposes.

Upon account deletion, we initiate removal of your personal data across our systems. Some data may persist in encrypted backups for up to 90 days before permanent purge.

9. Data security

All data is transmitted over HTTPS. We use Supabase with row-level security. Authentication is handled by Clerk with industry-standard session management. Payments are handled by Stripe (PCI-DSS Level 1 compliant). Despite these measures, no system is completely secure and we cannot guarantee absolute security.

10. Your rights

You have the right to: access your personal data, request correction of inaccurate data, request deletion of your account and data, restrict processing in certain circumstances, request your data in a portable format, object to processing based on legitimate interests, and withdraw consent at any time.

11. Microphone and voice data

PitchPal requires access to your device microphone for practice calls and for the Live Call Assistant. Microphone access is only requested when you initiate a session and is only used for the duration of that session. You can revoke microphone permission at any time in your browser or device settings. Revoking permission will prevent calls and the Live Call Assistant from working but will not affect any other part of the Service.

What is stored: After each practice call, we store your scored session results (overall score, category scores, coaching tips, prospect type, difficulty, and date). This data is tied to your account and is visible in your Progress dashboard.

What is NOT stored: Raw voice audio and raw call transcripts are not retained after the session ends. We process the transcript in real time to generate your scorecard, then discard it.

Who can access your data: Only the PitchPal team can access your session data. We may review this data in anonymised or aggregate form to improve the product. We will never share your individual call data with third parties, sell it, or use it for advertising.

12. Cookies

We use cookies solely for authentication (via Clerk) to keep you signed in. This cookie is essential for the Service to function. We do not use tracking, advertising, or third-party analytics cookies.

13. International data transfers

PitchPal and its service providers operate primarily in the United States. If you are located outside the US, your data may be transferred to and processed in the US. We rely on our providers' standard contractual clauses and data processing agreements to ensure adequate protection.

14. Children's privacy

PitchPal is not intended for users under 16. We do not knowingly collect personal data from children. If you believe we have done so, contact yournextpitchpal@gmail.com and we will delete it promptly.

15. Changes to this policy

We may update this policy from time to time. When we make significant changes, we will notify you by email and update the "Last updated" date. Continued use of PitchPal after changes constitutes acceptance of the updated policy.
